How do I sign-up for a round?
MAKE IT A HABIT and REGISTER 11 DAYS PRIOR to a golf round to be assured that you will have a spot.
How do I sign up for a round? What is the process?
You can register for a round as soon as the round has been OPENED for registration. Rounds will be "OPENED" approximately 4 weeks prior to the round, and you will receive an email inviting you to register. You can also sign up for rounds on the YOUR "PERSONAL SIGN-UP TRACKER" page in the "SIGN-UP" section of the TPGL website. You simply click on the ROUND. After you confirm, you will see that you are "REGISTERED FOR THIS ROUND". Similarly you have the option to "UNREGISTER".
The online registration process will close 11 days before the round. So, once the invitations go out, players will have roughly 3 weeks to sign up via the league website for any given round. When registration is CLOSED, you will see on the page that the "ROUND IS CLOSED".
Why is the cut-off now 11 days before the round?
What one has to recognize is that this year, we will be playing 64 rounds at roughly 15 golf courses, with some places hosting us more than once. It is not practical to think that we can get on the phone each week during the season and try to compete with the public for weekend tee times. So, to make this work, we have made a special arrangement with each course where they have already booked a one hour block of times for us on the 2020 dates we are scheduled to play.
The catch is that 10 days before the round, we must give the host golf course a firm headcount – both foursomes and players. If we have any tee times or spots of that hour that we cannot fill, the golf course will take back the unused times and sell them on their own. On the flip side, if we have a full field and need more than one hour, we can ask for additional space – again, as long as we do this 10 days before the round.
Are golf courses are OK with this?
Absolutely! This is a huge win-win.
Of the golf course operators we talked to, all of them sell most of their tee times 6-8 days in advance. With us securing our times 10 days in advance, it is an hour they don’t have to worry about filling or paying a commission to an online golf tee time provider. And, this makes our job a lot easier. We don’t have to make reservations week in and week out and deal with the hassles of trying to get a block of weekend times that run together.
All we need to do is communicate and be responsible to the golf course for the times/spots that we are committing to in advance.
What happens to the player who did not sign-up prior to the 11 day cut-off period and wants to play?
Well, first . . . we can’t add any times after 10 days because the golf course will most likely have sold the tee times that are before and after our reservations. In other words, we can’t go up in headcount. Secondly, the TPGL’s electronic registration for that round is closed at the 10 day mark.
Therefore, in this case, the player needs to send an email to the TPGL Scheduling Director stating their wish to play and they will then be placed on the waiting list.
Does a player on the waiting list need a player cancellation in order to play?
Yes. In the event there is a player who electronically signed up for a round before the cut-off period but for some reason cannot play, he must send a withdrawal email to the TPGL Scheduling Director.
We will then make the switch with the first player on the waiting list. Using this approach, our overall headcount should not change from what we told the course at the 10 day mark.
How long does the waiting list period run?
The waiting list period starts at 10 days before a round and runs to 48 hours before a round.
What happens at the 48 hour mark?
At the 48 hour mark, the round registration process officially shuts down. All players who have signed up for the round and have been confirmed are now 100% committed to play. There is no going back. Foursome pairings, tee times and head to head matches are put together and posted on the TPGL website for members to view.
Also, at the 48 hour mark, if we have players who have withdrawn and there is no one on the waiting list to replace them, the TPGL must contact the golf course and communicate the reductions in headcount that we gave them at the 10 day mark. This allows the golf course to take back our unused spots and try to sell them one last time and secure potential lost revenue.
What happens if there are still players on the waiting list?
At the 48 hour mark, if there are still players on the waiting list, they are out of luck and will not be included in the schedule for that round. Players will be notified of their misfortune.
Review the TPGL schedule in advance, decide what rounds you want to play, and sign-up at least 11 days before the round.
If you miss the 11 day cut-off period, email the TPGL Scheduling Director and get on the waiting list. Skip this step if you registered on or before 11 days.
If you are signed-up and it is after the 11 day cut-off period but find out you need to withdraw, please email the TPGL Scheduling Director and let him know ASAP. Please don't wait till the last minute. There will most likely be players on the waiting list anxious to get in. If you don't need to withdraw, skip this step.
At the 48 hour mark, we are a "go" for round launch. Foursome pairings, tee times and head to head matches will be posted on the TPGL website for members to view. If an unforseen personal emergency occurs within the 48 hour window, refer to the TPGL No Show/No Card Policy for further guidelines.
