LONE TREE LADIES TWILIGHT 9-HOLE
GOLF ASSOCIATION BY-LAWS
2025 (ratified 3-31-2025)
ARTICLE l - NAME
The name of this association shall be the Lone Tree Ladies Twilight 9-Hole Golf Association.
ARTICLE ll - OBJECTIVE
The objectives of this association shall be to:
(1) promote, educate and maintain the best interests of the game of golf by enabling its members to enjoy organized competition and social activities; and
(2) adopt, enforce and interpret the United States Golf Association (USGA) Rules of Golf, maintain a uniform system of handicapping and be a member of the Colorado Golf Association (CGA).
Article IIl - MEMBERSHIP AND DUES
League Membership: Memberships shall be established at 84, with future increases or reductions to be implemented by the Board and the Club Professional.
Eligibility: Membership will be open to all women 18 years of age or older who pay their annual dues.
Term: The membership year shall be from January 1 through December 31.
Responsibility: Members shall be familiar with USGA Rules of Golf, Lone Tree Local Rules, Golf Genius (GG) software, Lone Tree credit book software and conditions of competition.
Dues: Dues will be determined by the Board each year and shall be non-refundable.
Annual Registration Eligibility:
Priority: Provided to returning members who have played a minimum of eight (8) times in the prior season. Duration of registration will be determined by the Board, after which time Standard registration will commence for waitlisted individuals for a defined period of time. Participation points will be given for the following: (1) played a full round (either on tee sheet or added late); and (2) signed up for a game, did not cancel before the game, but the game was rained out.
Standard: After Priority registration closes, waitlisted women will be invited to register during a defined period of time. If there are no waitlist participants, any remaining spots will be filled on a first come, first served basis.
Waitlist: A waitlist of women desiring to be on the league will be maintained by the President and VP. Dates and times of interest will be documented and waitlisted parties will be contacted no later than February each year to determine their continued interest and communicate the post-priority membership process, handicap requirements and deadlines.
Prior year members that did not play eight (8) times by the end of the league season will be put on the bottom of the waitlist (if desired), in order of randomly selected numbers (if more than one).
Club Championship Registration Eligibility:

Members must be in good standing with no outstanding fines.

Play designated week(s) at the assigned tee time.

Have a Handicap Index through USGA.

Have played a minimum of six (6) times in the season (April to prior to the tournament date).
Year-End Payout Eligibility:

Members must be in good standing with no outstanding fines.

Have played a minimum of eight (8) times in the season.
-
Must be on the tee sheet to be eligible for Season-Long Tournament points.
Par 3 Hole-In-One Pot:
-
Optional annual participation for $2, due at registration.
-
At year-end, award pot money to hole-in-one recipient, or split equally if more than winner.
-
If no Hole-in-One recipient, pot monies carry over to next calendar year.
ARTICLE lV - BOARD OF DIRECTORS
The Board of Directors shall consist of Officers elected by the membership of the Association and include, at a minimum, the following roles: President, Vice President, Secretary, Treasurer, Tournament Committee Chair, and Social Committee Chair.
Eligibility: Each Candidate shall be a member of the Association and dues shall be current.
Duties of the Board of Directors:

Have general supervision of the affairs of the Association between meetings.

Adopt rules needed to execute the business of the Association.

Establish the time and location for Board meetings, with a minimum of four (4) Officers in attendance for a quorum.

Conduct Annual Meetings per the By-Laws.

Prepare a budget and approve all expenses.
-
Approve plans of the Tournament and Social Chairperson’s activities.
-
Appoint special committees, as deemed necessary.
-
Duties may change as needed.
Annual Meetings:
There shall be a minimum of two (2) general meetings each calendar year, with the dates to be determined by the Board of Directors.

The Spring meeting or Kick-Off meeting shall be the introduction of Officers and information about the upcoming golf season and approval of By-Laws changes.

The Fall meeting or Awards Banquet will be the election of Officers.
Term(s): Board tenure is a two-year term with staggered positions to ensure continuity and knowledge of Board operations.
Term Completion: Upon the end of each term, the President will send notification to the members no later than September 1st announcing position term ends and request nominations for vacant positions. Nominees must provide consent to be added to the ballot, and voting will occur at the Fall meeting or Awards Banquet. Current Board members whose terms are ending and have a continued interest to serve, will also be added to the ballot. Additional nominations may be made from the floor at the Awards Banquet. All positions will be elected into office at that time.
Vacancy in Office: Vacancies occurring during the year shall be filled by majority vote of the Board of Directors.
President Transition: No later than November following the election of a new Board President, the current President shall schedule a transition meeting. Documentation for each position will be transferred to the new Board members. The new Board will assume all responsibilities at the meeting, with the exception of the current year holiday event.
ARTICLE V - OFFICERS
The Officers of the Association shall be a President, Vice President, Secretary, Treasurer, Tournament Committee Chair, and Social Committee Chair.
Duties of the Officers are as follows:
President shall:

Preside at all meetings of the Association and at the Board meetings.

Appoint committee members as necessary.
-
Communicate any updates, changes and events to members and Board.
-
Be an ex-officio member of all Committees.
-
In general, perform the duties incident to her office as authorized by the By-Laws or directed by the Board.
Vice President shall:
-
In the absence of the President, perform the duties of the President.
-
Oversee rules, etiquette, and pace of play, and intervene in scoring disputes during weekly play and tournament events. The Lone Tree Golf Club Professional will resolve all play and rules disputes.

Coordinate the annual charity and communicate to the members.
-
Manage the annual membership registration process in GG and maintain the membership list during the season.
-
Maintain the waitlist through documented dates.
Secretary shall:

Keep a permanent record of the proceedings of the Board meetings and of the general Association.
-
Conduct the correspondence and maintain all records for the Association as required by the By-Laws and Board.
-
Prepare revisions to the By-Laws when deemed necessary, and coordinate membership vote and ratification.

Maintain current information on the GG Member Portal and league Facebook page.
Treasurer shall:

Develop an annual budget to determine member registration costs for Board approval.

Collect all dues and other revenues and maintain complete and accurate records of all financial transactions.
-
Present the financial status at each Board meeting.
-
Review all invoices for goods and services for accuracy before initiating payment, and reimburse members who have incurred expenses for the Association.

Coordinate with the Tournament Committee Chair to issue weekly payments to the Pro Shop for member winnings for the credit book.
-
Manage the Cancellation/No-Shows policy by monitoring weekly for prompt repayment.
-
Issue unused Cancellation/No-Show refunds, if applicable, at Awards Banquet.
-
In coordination with the Tournament Committee Chair, propose Club Championship awards and end-of-year awards as budget permits.
Tournament Committee Chair shall:

Oversee and communicate with the Tournament Committee, comprising tournament pairings and handicap scoring.
-
Coordinate with the Lone Tree men’s league GG coordinator to clone the league for each new season.
-
Prepare Game of Day (GoD) instructions and tournament rules.
-
Plan the weekly games based on the league schedule in GG.
-
Oversee the Club Championship.
-
Coordinate with the Treasurer to ensure weekly winnings for the credit book are accurate based on GG final scoring.
-
Coordinate with Tournament Committee and Treasurer for special tournaments: Scrambles, Member-Guest and Club Championship.
-
Oversee enforcement of USGA, local course and game day rules.
-
Communicate with members through the GG Communication Center.
Social Committee Chair shall:

Oversee and communicate with the Social Committee members in all planning activities.
-
Plan and manage costs within the established budget for all social events, activities and prizes for the Meet & Mingle Tournament, Member-Guest Tournament, End of Season Scramble & Potluck, Awards Banquet and Holiday Party.

Support development of the Member-Guest Tournament budget, separate from the league budget, with the Treasurer.

Be the main point of contact with the Lone Tree Golf Club Hospitality Manager.
-
Communicate with members through the GG Communication Center.
ARTICLE VI - COMMITTEES
The Committees of the Association shall be Tournament Committee and Social Committee.
Duties of the Committees are as follows:
Tournament Committee shall consist of Tournament establishment, Tournament Pairings (TP) and Handicap (HC) Scoring:

Support the activities associated with the Tournament Committee through the leadership of the Tournament Committee Chair.

(TP) Set up open tee sheets and final tee sheets.
-
(TP) Prepare reminders for tee time sign-up open/close times and consolidate tee times prior to play to ensure no vacancies, while attempting to keep pairings together.
-
(TP) Provide final tee sheet via GG to members and Pro Shop while updating the GG Member Portal.
-
(TP) Coordinate with Pro Shop to ensure accurate calendar and hole starts.
-
(TP) Coordinate with Social Committee Chair for events and Tournament Committee Chair for Club Championship.
-
(HC) Activate new members into the USGA Admin Portal League Roster and deactivate members who are no longer in the league. Oversee the handicaps to ensure compliance with the USGA Handicap System.

(HC) Educate the members on applicable topics of the USGA Handicap System.
-
(HC) Maintain the biennial World Handicap System (WHS) certification for the league.

(HC) Update Handicap Index within 24 hours of Game of Day (GoD).

(HC) Flight current GoD participants into 4 flights based on handicap.

(HC) Verify member’s GG recorded scores after GoD and push results to GHIN.

(HC) Coordinate with the Tournament Committee Chair and then notify the Treasurer that games have been closed and credit book amounts updated in GG.
Social Committee shall:

Support the activities and social events through the leadership of the Social Committee Chair.
ARTICLE Vll - PHILANTHROPY
All collections throughout the season for charity will be donated to a local organization voted upon by the Board and announced at the Spring general meeting.
ARTICLE Vlll - AMENDMENTS
Articles of the By-Laws may be amended by the Board. All amendments must be presented at a general meeting and ratified by two-thirds (2/3rds) vote of those in attendance.
